How do I approve or reject an elective minor or course?

All student elective choices require the supervisor to either approve or reject the request. When the request is rejected, the student will be notified through email. The rest of this guide will provide guidance on the process of either authorising or rejecting an elective minor/ course.


To approve or reject a course or minor, you can use the default filter – although we advise not to use this filter as it has some disadvantages:

  • It will show all students who have made a request for approval, even students from previous years or students who have unenrolled
  • If you work at more than one school, you will also be shown students from the other schools, not just the school for which you are actively working in Osiris.
  • Students who have requested approval for a course are shown in the same list as students who have requested approval for a minor.

We therefore strongly advise a different workflow, which will be described below. 


A better method

Instead of the default filter, we advise to create your own filter – which has the advantage of displaying only requests from your students for the current academic year.

From the menu, find the student


Once in the 'Student' screen, please follow the steps outlined below.

  1. Select Progress
  2. Press the drop-down menu below search
  3. The select the filter 'Aprove profiling (Faculty)
  4. Press search 

The filter find students who need authorisation filter is now active. 


The screenshot below outlines several steps. You can activate filter 1. If so, do not use the 'cursus' ['course'] 2 filter. Alternatively, you can look for a particular course. In this case, do not enter anything under Minor.


You can refine this filter by using the filters described below.

  1. Status goedkeuren profilering [Status approve course profile] Use this filter to select a minor which approval status you wish to inspect.
  • Rejected
  • Not yet assessed
  • Approved

Click on the green Search button.

Now the filter will show:

  • Only your own students
  • Students who are actually enrolled
  • Students whom you are supervising
  • Minors that are yet to be approved


Use option 2 to create the same filter for courses yet to be approved.

You may add some information here by entering the academic year under Registration degree programme.  Use the other fields to modify the filter as needed.

If you select Minor, Not yet assessed, you will see those students who have requested approval of a minor by their supervisor. 


Click 'requires approval (1). This will cause a screen to pop-up. Click 'requires approval' (2) again in this screen.

In this screen, you can approve or reject the elective minor

  1. Click "Change Status"  to assess the request.
  2. Select your verdict: Approved or Rejected.
  3. If you reject the request, you must state a reason.
  4. You can explain your decision here.
  5. Select Save to record the assessment.
  1. As you can see below (1), this request was given the following verdict: Approved [Goedgekeurd].
  2. Now click the small black cross and return to the initial screen. (2)
  3. Click the right arrow (3) to move to the next student whose minor approval request must be assessed. (The arrow will let you return to your search results. You can inspect the next student and assess their request from this list as well.)


  1. Once all the assessments have been completed, you can recheck whether there are any students "Not Yet Assessed".
  2. If you use the "Approved" filter, you will see those students whose minors you have just approved.
  3. If you click the icon featuring nine small squares , you will return to the dashboard.
