What information can I access through the personal details menu ?
Actions and Selection
You can perform various actions with regard to the students you have selected.
- By using ‘Make Selection’ (1), you can select or de-select the students you wish. You can also select a small number of students.
- The ‘Make Selection’ option also allows you to select one or a few students and to perform certain actions (2) with regard to the selected students.
The following actions (3 (see screen print) can be performed:
- Add details (a pop-up window will allow users to add new details). These will be personal details, which cannot be shared with colleagues.
- Delete details (a pop-up window will allow users to delete the present information)
- Send e-mail (this will open the default e-mail programme that will allow you to send an e-mail)
- Click ‘Create note’ to open a pop-up screen in which you can record a note.
- Longlist (based on a list of all students)
- Excel file Indicates the fields the user is authorised to use.
- List of students' portraits
- Student group
- Attendance list
Groups of students
The groups of students you create are unique to you and cannot be shared with others. After twelve months, any group you have created will be automatically deleted.
You can directly perform actions relating to individual students by clicking the three-dot icon ( ... 1).
Detailed information on students
Through the left side of the page, you can access several different menus. Below you will find an overview of the information you can access:

1. Personal details
This menu shows all the personal details available on a particular student.
- Degree programmes
- Prior learning
- Free fields (where used)
- Groups
2. Supervision
This menu shows all the basic information available on a particular student with regard to supervision
- Supervision (optional ‘Show history’ feature)
- Facilities
- Extracurricular activities
3. Notes
This menu gives you an overview of all the notes that have been recorded on a student and to which you have access. It is also possible to create a new note on the student in this menu.
4. Documents
Through this menu you can access documents that have been uploaded with regards to the student.
5. Enrolments
This menu shows all the courses and tests in which the student is enrolled.
6. Grades
The menu shows all the grades the student has obtained.
- This is where to perform a search of the courses found. You can search by course name or code.
- The overall list can be sorted in several different ways, i.e. by:
- Course
- Test
- Lecturer
- Grade
- Date of the examination (in descending order)
- Date of edit (in descending order)
3. Printing the list of files.
This will create a study progress overview (i.e., transcript) listing all grades obtained by this particular student.
4. Use this to inspect certain statistics.

7. Progress
This menu shows the students' study progress overview (transcript).

You can inspect the study progress overview in this menu. The overview has several components.
- You can select either ‘Study progress overview’ or ‘Progress by term’.
- Tick these boxes to see more or less of the study progress overview.
- The degree programme to which the study progress overview pertains.
- Progress indicator: this provides a visual of the student's progress in his/her chosen degree programme.
- This shows which exams have been passed (and the dates on which they were passed) and provides a summary of the exams still to be taken.
- Select the relevant examination here. A Bachelor's degree consists of a Year-1 examination and a Bachelor's examination.
- This shows the credits already obtained versus the credits still to be obtained.
- The courses the student has taken are shown here.
- Use this feature to create two reports: the study progress overview and the student-versus-cohort overview .
- This indicates that the student's status must be authorised.
8. Study advice
This menu contains information on the binding study advice and the collective advice.
Sorting
Sorted by degree programme and the type of decision. So the binding study advice and the collective advice are listed separately.
Advice for one department sorted by academic year (descending order) and date of advice (descending order)
Details
- Listed with the study advice are the intake year and the type of intake.
- If the study advice issued to the student is not yet definitive, the column providing the advice will say ‘draft advice’.
- If the study advice is changed, this will be shown in the ‘Advice’ column.
- Fields containing information on specific requirements will be shown where applicable.
- The decision issued will be shown in colour:
- Positive: Green
- Deferred: Amber/Orange
- Negative: Red
9. Reports on individual students
This menu will show the following reports:
- Study progress overview (transcript)
- List of files
- File on incoming students
- The student's progress versus the cohort's progress
- List of notes
Click the report you need and a PDF of the report will be created.
