Processing PSA by using notes

After a student has received their personal study advice, the advice has to be processed in OSIRIS Lecturer/Supervisor. This is necessary to ensure that the person who is going to process the advice in OSIRIS Backoffice has access to the advice that has been given. The registration of the personal study advice in OSIRIS Lecturer/Supervisor will be done by using a note. For this purpose, two types of notes have been created; 'Personal advice to continue programme' and 'Personal advice to discontinue programme'.

First look up the student whose PSA you are going to process in the Student menu. After you have selected the right student go to 'Notes' and click 'New Note' to register a new note:

After you have done this, the following pop-up will show up:

When making a note it is especially important that you select the right type of note, as this is what will show up in the report the backoffice employee downloads to register the PSA in OSIRIS backoffice. Depending on the type of advice that has been given you can select 'Personal advice to continue programme' and 'Personal advice to discontinue programme'. The fields 'Date', 'Degree programme' and 'Owner' will be filled automatically. For 'Subject' you should choose 'Personal study advice'.

Additionally, the fields 'Contents' and 'Decision' have to be filled in before you can save the note. The field 'Contents' can be used to clarify why the advice has been given and the field 'Decision' can be used to restate the personal study advice. Note that this note is visible to all employees who are authorized for the programme, so make sure you do not register any sensitive information.

After all the fields have been filled in, press 'Save' to process the note.

After the note has been saved, the student will receive a notification and they will be able to view the note in OSIRIS Student. Besides that, the note shows up in the report the Backoffice employee downloads to process the PSA in OSIRIS Backoffice.

The report that is used to register the PSA in Osiris Backoffice looks like this:
